Where the member is actually lost
Studio owners assume the hard part is getting someone to try a class. It is not. In most studios we look at, trials are booked at a reasonable cost. Then about half of them never walk through the door, and of those who do, most leave without buying the intro pack because nobody asked them at the right moment.
So the member is lost twice: between the booking and the class, and between the class and the pack. Both gaps are closed by the same tool, WhatsApp, with five messages sent at the right time. Not by a bigger desk team, and not by a discount.
The five messages, word for word
These are templates we adapt to each studio’s voice. The timing matters more than the wording. Replace the names and the pack.
Message 1, instantly after the booking
Hi Sarah, your trial is booked: Reformer Foundations, Tuesday 7:00am at Studio Name, Marina Gate. Wear grip socks if you have them, we have spares if not. Anything you want us to know before you come? Reply here, a real person reads this.
It confirms, it removes the first-timer anxiety, and it opens a conversation. Sent within five minutes, day or night, by the automation.
Message 2, the evening before, around 6pm
See you tomorrow at 7:00am, Sarah. Arrive ten minutes early so Maya can set your reformer. Parking: the visitor spots on P1, mention Studio Name at the gate. If something came up, tell us now and we will move you to another slot.
This message alone moves show rates from around half to around eight in ten. The last sentence is the important one: it turns a silent no-show into a rebooking.
Message 3, two hours before the class
Morning Sarah, the studio is open and the coffee is on. Maya is teaching your 7:00am. See you soon.
Short, warm, no question. It is a nudge for the people who set an alarm and are negotiating with themselves.
Message 4, within two hours after the class
How was your first class, Sarah? Maya said your form on the footwork was already there. If you want to keep going, your 3-class intro pack is AED 299 instead of AED 390, and it is open until Sunday. Want me to hold a spot in Thursday 7:00am?
The order inside this message is everything. First the question, then the compliment from the instructor, then the offer, then a concrete next slot. Most studios send the offer first and nothing else, and it reads like an invoice.
Message 5, three days later, only if she has not bought
Hi Sarah, last nudge from us, promise. The intro pack at AED 299 closes tonight. If the timing is off, tell me and I will keep the price for you when you are ready. Either way, it was great having you in class.
A real deadline, an easy way out, and no pressure. About a third of the people who did not answer message 4 buy after message 5.
Who sends what
Messages 1, 2, 3 and 5 are automatic. They go out from the studio’s WhatsApp Business number at the right time whether the desk is busy or closed. Message 4 is automatic too, but the desk edits one line: the instructor’s comment. That single line, written in thirty seconds after class, is the most profitable thirty seconds in the studio.
Any reply from the person lands in the same conversation, with the whole history, and a human answers. The automation never pretends to be a person, and it never argues.
The two mistakes that kill conversion
Sending from a personal phone. Messages from an instructor’s own number feel intrusive, get lost when she is off, and disappear with her when she leaves. Use a WhatsApp Business number in the studio’s name. The contacts belong to the studio.
Asking for the sale before asking how it went. The person just did something new and slightly scary. She wants to be seen before she is sold to. Message 4 opens with a question about her, then a comment from the instructor, and only then the pack. Reverse the order and the reply rate drops by more than half.
Compliance in the UAE
Every person in this sequence asked for a trial and gave her number herself. That is what makes it a conversation and not marketing. No purchased lists, no messages to people who did not book, and an easy opt-out in every conversation: “reply STOP and we will not message again.” Keep it that way and WhatsApp stays your best channel for years.

What to remember
The member is lost after the booking, not before. Five messages, sent at the right moments from the studio’s number, close both gaps. Automate the timing, keep the instructor’s one line human, ask how it went before you ask for the sale, and measure show rate and pack rate every week. This is the part of the system that pays for the ads.

The questions that come up
Is WhatsApp better than email or SMS for studios in Dubai?
Yes, by a wide margin. WhatsApp is the default messaging app in the UAE, messages are read within minutes, and people reply. Email works for receipts. SMS is read but rarely answered.
Can this be fully automated?
The timing, yes. The one line from the instructor after class should stay human, and any real question is answered by a person. Fully automated conversations feel like a bot and convert worse.
Do I need WhatsApp Business API or is the app enough?
The free WhatsApp Business app works for a small studio with a desk that follows a routine. The API version is needed once you want the messages to go out on their own from the booking page. We set up either.
What if the person does not reply at all?
Then message 5 closes the loop with a deadline and an easy way out. About a third of the silent ones buy after it. The rest are not lost: the conversation stays open for the next intro offer, and they never get spammed.
